1. Acceptance of Terms
Welcome to ConvertHub. By accessing or using our file conversion service, including our website and API, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our service.
2. Service Description
ConvertHub provides an online file conversion service that allows users to convert various file formats through our website interface and programmatic API. Our service includes but is not limited to:
- Conversion between document formats
- Image format conversion
- Audio file conversion
- Video format conversion
- Temporary storage of uploaded and converted files
- RESTful API access for programmatic file conversions
3. User Accounts and Subscriptions
Free vs. Paid Services
- Free users: Limited to standard conversion options with files stored for 24 hours. No API access.
- Paid subscribers: Access to premium features, larger file sizes, extended file storage until manual deletion, and API access based on plan limits.
Subscription plans are billed on a recurring basis. You can cancel your subscription at any time, but no refunds will be provided for the current billing period. We reserve the right to change subscription fees with 30 days' notice.
4. API Terms of Use
API Access and Usage
API access is available to paid subscribers subject to the following terms:
4.1 API Keys and Authentication
- API Key Security: You are responsible for maintaining the confidentiality of your API keys. Treat them as passwords.
- Unauthorized Use: You are responsible for all activity that occurs under your API keys, whether authorized or not.
- Compromised Keys: If you believe your API key has been compromised, you must regenerate it immediately in your account settings.
- Key Sharing: API keys may not be shared publicly, embedded in client-side code, or distributed to third parties without proper security measures.
4.2 Rate Limits and Usage Quotas
- Rate Limiting: API requests are subject to rate limits based on your subscription plan. Exceeding these limits may result in temporary throttling or request rejection.
- Fair Use: Excessive or abusive API usage that degrades service quality for other users may result in temporary or permanent suspension of API access.
- Quota Tracking: You can monitor your API usage through your account dashboard. We may send notifications when you approach usage limits.
4.3 Permitted and Prohibited API Use
- Permitted: Building applications, services, or workflows that integrate file conversion capabilities for yourself or your end users.
- Prohibited: Reselling API access directly, circumventing rate limits, reverse engineering the API, or using the API to compete directly with ConvertHub.
- Commercial Use: Commercial use of the API is permitted under paid plans. You may charge your end users for services built on top of our API.
4.4 API Changes and Versioning
- Updates: We may update, modify, or deprecate API endpoints with reasonable notice.
- Breaking Changes: We will provide at least 30 days' notice for breaking changes to documented API endpoints.
- Backwards Compatibility: We strive to maintain backwards compatibility but cannot guarantee it indefinitely.
5. Refunds Policy
Refund Eligibility and Process
Our refund policy is designed to be fair and transparent:
5.1 Subscription Refunds
- Recurring Payments: We do not provide refunds for subsequent billing cycles after the initial period.
- Subscription Cancellation: You may cancel your subscription at any time, but you will continue to have access to premium features until the end of your current billing period.
- Unused Time: No partial refunds will be issued for unused time on your subscription.
5.2 Pay-As-You-Go Credit Refunds
- Unused Credits: Credits purchased under our pay-as-you-go plan are non-refundable once purchased.
- Failed Conversions: If a conversion fails due to technical issues on our end, the credits used will be automatically refunded to your account.
- Credit Expiration: Purchased credits never expire.
5.3 Exceptions and Special Circumstances
- Service Outages: Extended service outages (more than 24 hours) may qualify for partial refunds or service credits at our discretion.
- Accidental Purchases: Duplicate or accidental purchases may be eligible for refund if reported within 48 hours.
- Account Termination: If we terminate your account for violations of our terms, no refunds will be provided.
5.4 How to Request a Refund
To request a refund, please contact our support team at [email protected] with your account details and reason for the refund request. All refund requests will be reviewed within 5 business days.
Approved refunds will be processed using the original payment method. Depending on your payment provider, it may take 5-10 business days for the refund to appear in your account.
6. File Storage and Retention
We provide temporary storage for your files as follows:
- Free users: Your uploaded and converted files are automatically deleted after 24 hours.
- Paid users: Your files remain stored until you manually delete them from your account or terminate your subscription.
- API uploads: Files uploaded via API follow the same retention policy as your account type.
- Upon termination of a paid account, all files will be permanently deleted within 7 days.
We use CloudFlare R2 for secure file storage. While we implement reasonable security measures, you are responsible for maintaining backup copies of your important files.
7. Acceptable Use and Content Restrictions
Prohibited Content and Actions
You may not use our service (including the API) to upload, process, or distribute:
- Illegal content: Including but not limited to copyright-infringing materials, child exploitation material, or content that violates any applicable laws.
- Malicious files: Including viruses, malware, spyware, or any files designed to damage or gain unauthorized access to our systems or other users' systems.
- Sensitive personal data: Including government-issued IDs, financial information, or health records of individuals other than yourself, unless you have explicit permission.
- Abusive content: Including content that promotes hatred, discrimination, or violence against any person or group.
7.1 API-Specific Prohibited Activities
- Rate Limit Circumvention: Attempting to bypass rate limits through multiple accounts, API keys, or other means.
- Automated Abuse: Running bots, scrapers, or automated systems that place excessive load on our infrastructure.
- Vulnerability Testing: Attempting to probe, scan, or test the vulnerability of our systems without express written permission.
- Interference: Any action that interferes with or disrupts the service for other users.
We reserve the right to terminate service to any user violating these content restrictions and to report illegal activities to relevant authorities.
8. Intellectual Property Rights
You retain all ownership rights to your original files. By uploading files to our service (via website or API), you:
- Grant us a limited license to store, process, and convert your files solely for the purpose of providing our service to you.
- Warrant that you have the legal right to upload and convert the files.
- Understand that this license terminates when your files are deleted from our systems.
All aspects of the ConvertHub service, including software, design, API, and trademarks, remain the property of ConvertHub and are protected by intellectual property laws.
9. Conversion Quality and Limitations
While we strive to provide high-quality file conversions, please note:
- Not all features of a source file format may be preserved in the conversion process.
- Complex formatting, embedded objects, scripts, or interactive elements may not convert accurately.
- The quality of conversions depends on the original file quality and the compatibility between formats.
- Maximum file size limits apply based on your subscription level.
- Certain file types may have specific limitations based on technical constraints.
- API responses are provided "as-is" and conversion results may vary.
We recommend reviewing converted files for accuracy and completeness, especially for important documents.
10. Service Availability and Support
We strive to maintain high service availability but do not guarantee specific uptime percentages. Our service may experience:
- Scheduled Maintenance: Planned downtime for updates and improvements, typically announced in advance.
- Unscheduled Outages: Unexpected issues that may temporarily affect service availability.
- API Latency: Response times may vary based on server load, file size, and conversion complexity.

11. Disclaimer of Warranties
THE SERVICE, INCLUDING THE API, IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not guarantee that our service will be uninterrupted, error-free, or completely secure, or that any file conversions will meet your specific requirements or expectations.
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, CONVERTHUB SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION, LOSS OF PROFITS, DATA, USE, OR OTHER INTANGIBLE LOSSES, RESULTING FROM:
- Your use or inability to use the service or API
- Any changes to the service or API
- Unauthorized access to or alteration of your files
- Statements or conduct of any third party on the service
- Loss of data or corruption of files
- API downtime, errors, or rate limiting
Our total liability for any claims under these terms shall not exceed the amount you paid us to use the service during the past 12 months (or $10 if you have not paid us).
13. Indemnification
You agree to indemnify, defend, and hold harmless ConvertHub and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from:
- Your use of the service or API
- Your violation of these Terms
- Your violation of any third-party rights, including intellectual property rights
- Any content you upload or process through our service
14. Service Changes and Termination
We may:
- Modify, suspend, or discontinue any part of our service (including API endpoints) at any time.
- Impose limits on certain features or restrict access to parts of the service.
- Terminate or suspend your access to the service immediately for violations of these terms.
- Revoke API keys without notice if abuse is detected.
Upon termination, your right to use the service will immediately cease, and we may delete your files and account information.
15. Governing Law and Dispute Resolution
These Terms shall be governed by the laws of the European Union and the Republic of Bulgaria, without regard to conflict of law provisions.
Any disputes arising from or relating to these Terms or your use of the service shall first be resolved through informal negotiation. If that fails, disputes will be resolved through binding arbitration rather than court action, except for small claims court actions or intellectual property litigation.
16. Changes to Terms
We may update these Terms of Service from time to time. We will notify users of significant changes via email or through notices on our website. Your continued use of the service after such changes constitutes your acceptance of the new Terms.
